About the Role

We are currently seeking a detail-oriented, proactive, and highly motivated Finance Manager to join our collaborative team.

In this role, you will oversee the day-to-day financial operations across multiple business entities, supporting the infrastructure that powers political campaigns, public affairs initiatives, and strategic advocacy efforts. The ideal candidate is someone who thrives in a dynamic, deadline-driven environment with intense busy periods and slower cycles. Youll play a key role in ensuring accurate financial recordkeeping, smooth vendor and client management, and ongoing compliance with financial and regulatory requirements.

This is a full-time position with a hybrid schedule: one in-office day per week in our Oakland office, with the remainder of the week remote.

Key Responsibilities

Cash Management & Banking

  • Monitor daily bank balances and activity across multiple accounts
  • Transfer funds as needed and manage daily cash flow
  • Manage ACH and wire transfers, ensuring accuracy and timeliness

Accounts Payable

  • Set up and manage vendor records
  • Process and post vendor invoices using Bill.com
  • Track and reconcile project and credit card expenses via Expensify
  • Schedule and manage payments to vendors and consultants

Accounts Receivable

  • Set up new client accounts and maintain billing records
  • Generate and send client invoices in a timely manner
  • Track project progress to proactively bill clients
  • Monitor incoming payments and follow up on outstanding invoices

Financial Reconciliations & Reporting

  • Perform monthly bank and credit card reconciliations
  • Post payroll entries and maintain related documentation
  • Maintain and update financial tracking spreadsheets
  • Generate weekly and monthly financial reports for leadership and external CPA
  • Reconcile client budgets and assist with project-level financial oversight

Compliance & Filing

  • Calculate, file, and pay sales tax on behalf of the firms
  • Generate and file 1099-NEC forms
  • Provide financial documentation for client lobbying compliance and reporting (e.g., San Francisco, Oakland, Berkeley regulations)

Qualifications & Skills

Required:

  • 3+ years of bookkeeping or financial management experience, ideally in a small business or nonprofit setting
  • Strong understanding of full-cycle accounting principles and procedures
  • Proficiency with QuickBooks (required)
  • Proficiency with Excel for managing and analyzing financial data
  • High level of organization, accuracy, and attention to detail
  • Ability to manage multiple accounts and projects simultaneously
  • Clear written and verbal communication skills

Preferred:

  • Experience with Bill.com, Expensify, and FileMaker
  • Familiarity with compliance requirements for lobbying or nonprofit reporting
  • Experience in a fast-paced, deadline-oriented work environment

Work Environment & Schedule

  • Hybrid position: one day per week required in our Oakland, CA office, with the rest of the work done remotely
  • Must be comfortable working in a collaborative team culture with periods of heavy workloads and lighter periods
  • Occasional evening or weekend availability may be needed during busy political cycles
